Queensford College is a vocational education and training (VET) institution situated in Australia in four key cities – Sydney, Brisbane, Adelaide and Hobart. They are accredited by the Australian Skills Quality Authority (ASQA) and provide courses in Accounting & Business, Community & Health, Hospitality and Management. Queensford employs about a hundred highly competent academic trainers and non-academic staff who serve as the foundation for its high quality academic excellence.

Challenges:

Queensford faced several challenges with fragmented staff information stored across OneDrive, Outlook Calendar, and Xero, leading to inefficiencies and human error in updating documents. Onboarding, trainer profile management, and performance management processes were cumbersome and manual, overburdening the HR and Compliance team.

Solution:

With a close collaboration with Queensford’s HR team, we tailored a solution for them by customizing an open-source Enterprise Resource Planning (ERP) system, Odoo. It was a cloud-based solution to automate its human resource management processes, focusing on creating a paperless environment and enhancing user experience. The solution included a unified platform for storing and updating all staff information and documents, integrated workflows for HR, IT, and Compliance to ensure efficient onboarding, and a centralized system for managing compliance documentation with automated reminders and tracking. Performance reviews and document management were also automated, reducing the need for manual email exchanges.

Result:

The cloud-based HR solution brought significant improvements to Queensford’s operations resulting in increased efficiency, reduced administrative workload, and improved accuracy in compliance and performance management leading to a more productive and satisfied workforce.
